Position Summary: Collects and processes Troop procurement card receipts and statements with little or no supervision. Works closely with Troop employees to ensure guidelines are met and completed information is provided. Verify charges in SMART in an efficient and timely manner. Processes purchase orders and records all invoices received and forwards to Headquarters for payment. Compiles and submits various reports, i.e. monthly work schedules construction zone schedules, organizational charts, Grant Overtime reports, Cabinet Reports, etc. Handles outgoing correspondence. Answers routine public correspondence and drafts letters and memos as required by; the Operations commander or other Troop personnel. Maintains spare vehicle logs and Troop D personnel files. Answers questions from the public concerning VIN inspections, law, road and weather information. This is done in order to provide public information services in person and via telephone. Trains support personnel in office systems procedures. Attends training as needed in order to maintain proficiency in operations. Makes sure all administrative support staff is crossed trained to ensure office efficiency when someone is absent. Ensure that personnel have access to all relevant employment data, insurance information and payroll options; Assist with employee inquiries on benefits, workman’s comp issues, and other related situations. Completes special projects and performs other duties as assigned including, but not limited to, ensuring the agency is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism. Assists in determining supply needs and entering orders in the KHP Management Inventory system . Receives the supply order and ensures all ordered items are received and in acceptable condition.

Qualifications:
Education: High School diploma or equivalent
Licensing: Valid Driver’s License
Minimum Qualifications: Notary for the State of Kansas. Two years of experience in general office, clerical, and administrative support work. Knowledge of office procedures and payroll. Ability to speak clearly and concisely in person and on the telephone. Ability to establish and maintain effective working relationships. Ability to communicate effectively, verbally and in writing, with fellow employees and the general public. Proficient with Microsoft Windows and Excel software programs. Listen, comprehend and respond to fellow employees and general public via telephone or in person. Basic mathematical calculations. Accurate proofreading. Ability to multi-task. Ability to read and write comprehensively.
Preferred Qualifications: Training in Excel, Word, Access, PowerPoint, Outlook, general office practices.
Post-Offer, Pre-employment Requirements: Must submit to and pass a thorough background check including fingerprints. Ability to sit, walk, stand, stretch, twist, reach out with body, arms and legs; listen, comprehend, respond, speak clearly and concisely in person and on the telephone; repeatedly bend, stoop, lift lightweight materials up to 30 lbs, sit for long periods of time, move in confined areas, and perform repetitive motions with one or more extremity.
